What we collect

When you sign up to volunteer, we collect: your first and last name, mobile phone number, email address, gender, age, your serving preferences, and any notes you choose to share. During the event we record check-in and check-out times for your volunteer shift. If you serve in an area that requires a background check, we record only the status of that check (e.g., cleared or pending) — the check itself is handled through the church's separate screening process, and we do not store its contents on this site.

How we use it

We use this information solely to run the Light the Night volunteer program: scheduling and coordinating serving assignments, sending you confirmations and event communications, checking you in on event day, tracking volunteer hours, and inviting you to serve at future Light the Night events. We do not use your information for any other marketing.

Text messages (SMS)

If you check the SMS consent box at signup, we send you text messages about your volunteer registration: confirmations, serving assignment updates, event reminders, and event-day instructions — up to 6 messages per month during the event season. Message and data rates may apply. Reply HELP for help or STOP to opt out at any time; after STOP you will receive no further texts. SMS consent is optional and is not a condition of volunteering.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Mobile opt-in data and consent are not shared with or sold to anyone.

Sharing

We do not sell or rent your personal information. Information is visible only to authorized Light the Night coordination staff. We use service providers (website hosting, text and email delivery) that process data on our behalf under their own confidentiality obligations, and we may disclose information if required by law.

Minors

Volunteers under 18 are welcome at Light the Night. We encourage minors to sign up with a parent or guardian's contact information. A parent or guardian may contact us at any time to review or delete their child's information.

Retention & your choices

We keep volunteer records to coordinate this year's event and to invite you back in future years. You may ask us at any time to correct your information, export it, or delete it entirely by emailing office@calvarycorvallis.org or calling (541) 752-2851. Deletion requests are honored within 30 days.
